(Member) Duties ("Job Descriptions")

Click on the office below to get to the respective description (or simply scroll down). The officers shall complete or oversee the following duties. Also note the respective sections in the Constitution. Naturally, these descriptions are not exclusive; other tasks may be included as appropriate.

President

  • Call and chair both general and executive board meetings.
  • Establish agenda for all meetings, including annual conference luncheon/business meeting.
  • Recruit and appoint:
    • Director of Ways and Means
    • Director of Electronic Media
    • Director of Academic Alliances
    • Director of Advocacy
    • Editor of FLAG Journal.
  • Serve as liaison to the Georgia Department of Education.
  • Initiate new projects directed at fostering foreign language programs throughout the state.
  • Write president's column for the FLAG Journal and FLAG Features.
  • Make a report about FLAG's activities at the SCOLT conference, or designate a representative, and submit the report for publication in SCOLTalk.
  • Represent FLAG at the ACTFL conference, or designate a representative, and submit FLAG news and calendar to the ACTFL Member News.
  • Consider nominees for FLAG's Presidential awards.
  • Write letters to principals for professional leave for board members.
  • Order stationery and name plates for board members.
  • Write thank-you notes and have FLAG pins ready for conference presenters.
  • Make executive decisions and coordinate activities of the various offices of the Board.
  • Wear name plate at all FLAG activities.


President Elect

  • Awards (Duties - Date)
    • Compose or revise award applications and publish them in the Fall Flag Features, the spring Journal, and on the web page (Feb)
    • Forward to SCOLT & ACTFL our FLAG news, awardees, calander (Oct)
    • Keep updated list of affiliate presidents' emails and phone numbers (Nov)
    • Ask presidents of affiliates if they wish to present awards at Flag Reception (Nov)
    • Receive and process awards nominations (Nov)
    • Present awards nominations at December board meeting for selection of honorees (Dec)
    • Decide and submit names for SCOLT and ACTFL awards (Dec)
      • Best of FLAG to SCOLT
      • Nominate FLAG's TOTY & POTY (if FLAG wishes to nominate)
      • ACTFL National TextBook Award (or other ACTFL Awards)
    • Invite honorees to awards ceremony at FLAG conference (Dec)
    • Send letters to those who were not chosen (Jan)
    • Have plaques and certificates made (Jan)
    • Prepare Awards Sheet for luncheon tables (Jan)
    • Compose narrative for presentation of awards (Jan)
    • Present awards at the Conference (Feb)
    • Take pictures at reception for the Journal (Feb)
    • Give Awards Sheet & pictures to the editor of the Journal and the webmaster (Feb)
    • Send news release to newspaper in honorees' hometown and/or school (Feb)
  • Best of Flag Duties
    • Update the form for each conference (Jan.)
    • Bring enough copies for the conference FLAG bags [1 per bag] (Feb.)
    • Take home forms from the conference
    • Receive forms mailed in and tabulate results (Mar.)
    • Present results at May board meeting & vote on the best presentation and runner-up (May)
    • Notify winner and request presentation at SCOLT (May)
    • Submit proposal form to SCOLT for Best of FLAG (May)
    • Notify the editor of the Journal and the webmaster to publish winner's name (Feb)
  • Be responsible for keeping list of current AAT presidents (May)
  • Nominating Committee during First Year of president-elect's office
    • Appoint nominating committee and serve as chair (Feb)
    • Inform Board of nominating committee during Conference meeting (At Conference)
    • Place nomination form in FLAG bags (At Conference)
    • Present new slate of officers at the May Board Meeting (May)
    • Add nominated officer from membership to candidate list
    • Place ballot in fall FLAG Features

  • The following conference duties are shared by the 2nd Vice President and the Treasurer/Administrator.

    • Solicit, collect, and organize proposals
    • Secure SDU Workshop presenter and arrange for SDU credit to be awarded either through your own county or through State Dept of Ed
    • Secure keynote speaker

Editor FLAG Journal

  • Prepare fliers and announcements with call for materials, details regarding submissions criteria, and deadline information.
  • Send reminders to all FLAG Board activity directors whose reports are to be published in the Journal.
  • Establish contact with other organizations (AAT's, etc.) to invite contributions of reports and articles.
  • Set up contracts with advertisers; facilitate contract arrangements between advertisers and FLAG Treasurer-Administrator.
  • Negotiate contract with printer; arrange for printing services and delivery of the completed edition.
  • Review and edit all copy received from contributors.
  • Proofread text submissions for typographical and/or content errors.
  • Set up page layout, sequencing, illustrations, index, etc.
  • Prepare the proof copy.
  • Manage sorting and preparation of printed copies of the Journal for bulk mailing. Consult with Treasurer-Administrator for updated mailing list, labels and mail procedures.
  • Report to FLAG Board at meetings and via e-mail contact as necessary. Organize and maintain files of information related to publication of the Journal.
