FLAG ANNUAL CONFERENCE
Information for Presenters

The following are suggestions, hints, tips, tricks, guidelines, and general advice pertaining to presentations. They are based on past experience and feedback from conference attendees. The original version is adapted from a listing by our friends at SCOLT.

  • Registration
    All presenters must be members in good standing of FLAG, and register and pay conference fees as appropriate (this includes luncheons, special events, etc.). Please remember that by accepting the invitation to present, you agree to register for the conference as well as pay all of your additional expenses. If the you listed co-presenters FLAG requests that the lead presenter shares pertinent information with them. FLAG is counting on the lead presenter to make sure that colleagues are notified, and to remind them to register.
  • Scheduling
    Sessions may be scheduled at any time during the conference, therefore, plan to attend the entire event.
  • Content and Language
    Content and language for all presentations, sessions, or workshops must coincide with the information submitted to be printed in the official conference program.
  • Sales
    Presenters are not permitted to sell their own or others' products or services during their presentations. Merchandise can be sold only in the Exhibitors' Area by registered exhibitors (PDF). Failure to comply with these regulations may disqualify presenters from presenting at future FLAG events.
  • Format
    FLAG encourages presenters to make their contributions active and interactive. Participants are highly critical of presentations where presenters lecture or read papers, while they value sessions and workshops where they gain hands-on experience and get opportunities to reflect upon or practice with new information in order to make it their own.
  • Timing
    Be sure to plan for and stay within the given time frame. Delays, sessions going over time, etc. will result in difficulties for all conference participants. If applicable, Q&A time is part of the alloted time, not extra!
  • Handouts
    Presenters must be willing to furnish handouts equal to the maximum seat capacity of the room for which their session or workshop is scheduled (FLAG will advise presenters in advance of the room capacity.) Plan for this number, including a few extras. Hint: Prepare a mailing list in case you expect a larger audience, and/or consider emailing or posting materials online (as feasible). FLAG will not post your handouts but may (at its discretion) set a link if you post it some other place; just let us know the URL).
    FLAG does not reimburse any associated expenses (travel, materials, copies, folders, etc.)!
  • Transparencies, Slides, and similar
    Text projected onto a screen is often difficult to read when typed in normal size print. We recommend to prepare such materials in 24 point type or larger.
  • AV Equipment
    All audio-visual equipment needs must be arranged in advance. The availability of equipment depends on the conference location. Typically, rental fees will be charged, especially for items such as internet access, carts, TV/VCR, overhead and/or slide projectors, screens, flip charts with easel, etc. Make sure your requirements are met before the start of the conference as it is quite difficult to arrange for additional equipment on-site. Usually, conference sites allow the use of personal equipment. If applicable, ensure that equipment you plan on bringing and/or using works. Getting immediate help on location tends to be extremely challenging if not impossible. Therefore, FLAG strongly recommends to make provisions in case of equipment issues (have a backup plan, especially for situations that require your equipment to work with services provided on site, e.g. internet connections and the like, which are notoriously problematic).
  • Cancellations
    Presenters who cancel at the last minute create complications for the organizers as well as disappointment and ill-will on the part of attendees. Therefore, if you must withdraw, please notify FLAG as soon as possible so that a replacement session can be arranged. Please understand that presenters who do not give proper notification of cancellations may be disqualified from presenting at future FLAG events.
  • Publishing
    Presenters are especially urged to consider condensing their contributions for publication for the benefit of the broader FLAG membership.
